
Events Resources Lead

Te āheinga - The opportunity:
Reporting to the Communications Manager, you will lead the planning and delivery of internal organisational events while overseeing daily operations of the Resource Centre. You will set standards, manage timelines and budgets, coordinate logistics, allocate equipment, supervise casual kaimahi and uphold safe, high‑quality delivery across the organisation. This is a hands‑on role with real influence — shaping processes, driving improvements and ensuring consistent, professional event outcomes.
Ngā Kawenga me ngā Mahi – Duties & responsibilities:

Lead the coordination and logistics for internal organisational events, hui, activations and key strategic functions.

Oversee the Resource Centre, including equipment audits, maintenance, repairs, safe storage and asset tracking.

Manage equipment booking systems and approve resource requests, ensuring prompt, efficient and accurate allocation.

Supervise, coach and mentor events kaimahi, supporting a safe, positive and high‑performing team culture.

Develop event plans, run sheets, timelines and contingency plans to ensure smooth and high‑quality delivery.

Lead onsite health & safety for events, including hazard identification, safety briefings and incident reporting.

Provide regular reporting to the Communications Manager on event activity, equipment usage, budgets, risks and improvements.
Ngā wheako me ngā pūkenga - Experience & Skills required:

Certificate or Diploma in Event Management, Communications, Marketing, Project Management, Hospitality pr a related field. Health & Safety Qualifications and/or experience conducting toolbox talks/inductions are desirable.

Proven experience coordinating events or community activations, with the ability to manage logistics, resources and timelines under pressure.

Strong organisational and planning capability, with the ability to manage multiple workstreams and prioritise effectively.

Leadership and coaching skills, with experience supervising or mentoring kaimahi in fast‑paced operational environments.

High level of systems competence, including Microsoft 365, SharePoint, Teams and digital collaboration tools.

Confidence with manual handling, equipment setup, transport logistics and safe use of tools, vehicles and trailers.

Excellent relationship‑building and communication skills, with the ability to work collaboratively across teams, suppliers, and contractors.

Confidence towing a trailer is an advantage.

An understanding of tikanga and kawa, with knowledge of Whakatōhea values and reo considered a strong advantage.
